document: customer-collection-notice title: Customer Collection Notice version: 1.0.2 effectiveDate: 2026-10-12 status: published
For salons: this is a short counter notice to display or hand to customers at the point their details are taken. Fill in your own name and contact details where marked before you print it. displaying this is how you meet your own obligation under DPDP Act 2023 s.5 and GDPR Art. 13 to tell people what you are recording, before or at the moment you record it. You are the Data Fiduciary for your customers' data. Print it from Settings → Privacy & Data — it is available in nine languages, and DPDP s.6(3) gives your customer the right to read it in English or any Eighth Schedule language.
How we handle your information
[SALON NAME] keeps a record of your visits so we can look after you properly.
What we record
Your name and phone number, and — if you give them — your email address and date of birth. We also keep your appointment and service history, your bills and payments, and any memberships, packages, gift vouchers or loyalty points you hold.
If you tell us about an allergy or a sensitivity, we write it down so that we never put a product on you that would harm you.
Why we record it
- To book your appointments and to remind you about them.
- To carry out the services you ask for, safely.
- To bill you and give you a proper GST invoice — which the law requires us to keep.
- To run any membership, package or loyalty scheme you have joined.
- To send you offers and news — only if you say yes, and you can stop at any time.
Who else sees it
We use Shapzo, a salon management service, to hold these records for us. They process your information only on our instructions and do not use it for anything of their own. Shapzo stores it in India, and uses providers in India and the United States to send messages on our behalf — SMS in India, and email and app notifications through providers in the United States.
We do not sell your information to anybody.
How long we keep it
We keep your visit history for as long as you remain our customer. Bills and tax records we must keep for eight years under Indian law — after that, or if you ask us to erase your record, we remove your identity from them and keep only the amounts.
Your rights
You can ask us to:
- Show you what we hold about you, and give you a copy.
- Correct anything that is wrong or out of date.
- Erase your record, except for the tax records the law makes us keep.
- Stop marketing to you. Every message we send has an unsubscribe link that works immediately and needs no login — or just tell us.
- Nominate someone to act for you if you die or cannot act for yourself.
You may also complain to us, and we must answer.
